Book crew for live events and tours

For promoters, production service companies and agencies: staff sound, lighting, stage and camera for concerts, festivals and corporate events, across several venues if needed.

Free sign-up, no payment details needed.

Typical problems

  • The date cannot move

An event happens on one particular evening. If someone drops out, a replacement is needed within hours.

  • Travel between venues

On tour there are travel days between shows. Whoever loads out in Hamburg on Monday cannot load in early in Munich on Tuesday.

  • Long nights

Load-in in the afternoon, load-out after midnight: the hours fit no daily grid, and surcharges get forgotten.

How CueFlow helps

  • Search around the venue

Find crew by trade and free days within 25 to 500 km of the venue.

  • Jobs with travel time

Travel time before and after the job blocks the calendar too, so the next booking fits the journey.

  • Times around the clock

Jobs past midnight are normal: the end falls on the next day, and evening and night surcharges follow the freelancer’s rates.

  • A call sheet for the crew

The call sheet goes to the crew by email as a PDF, with a link for reading it without an account.

How it works

  1. Create the event

Set up a production with the venue and expected attendance.

  2. Request crew

Ask for sound, lighting and stage, each with a reply deadline.

  3. Plan travel time

Book the journey there and back so the next dates fit.

  4. Send the call sheet

Before the event, the call sheet goes to everyone.

Frequently asked questions

What happens if someone cancels at short notice?
What applies to a cancellation is fixed when you book. To find a replacement, the search filter “Free today” shows only people who are available that day.
Can I book several days in a row, for a tour for example?
Yes. A booking can span several days, and every day appears in the crew’s calendar.
How are night surcharges calculated?
Freelancers set their own evening and night surcharges, for example from 6 pm. They apply by the time of the job, even when it ends after midnight.
Does the crew get a reminder?
Yes. One day before the job, the booked freelancers and the booking team get a reminder. The evening before, freelancers also receive an overview of the next day by email.
